A birth certificate is now mandatory in India for school admission, passport, Aadhaar, voter ID, and most government schemes under the Registration of Births and Deaths (Amendment) Act 2023.
The entire process is online through the official Civil Registration System portal: crsorgi.gov.in
Documents You Need
For newborn registration (within 21 days):
- Hospital discharge slip or doctor’s birth certificate
- Aadhaar card of both parents
- Address proof if different from Aadhaar
For late registration (after 21 days):
- Self-declaration affidavit
- Supporting proof: school certificate, hospital record, or parents’ documents
- Registrar’s written permission (if the delay is between 1 month and 1 year)
Step-by-Step Application Process
Step 1: Visit crsorgi.gov.in. Open Chrome browser, go to the official portal. Make sure the URL ends in .gov.in, never use third-party websites.
Step 2: Create an Account. Click “General Public Sign Up”, enter your name, mobile number, and email. Verify with the OTP sent to your phone.
Step 3: Log In and Select Birth Registration. Log in with your credentials. From the dashboard, click “Birth Registration” then “New Registration.”
Step 4: Fill the Application Form. Enter the child’s full name, date and time of birth, gender, and place of birth. Then fill in both parents’ details, name, Aadhaar number, occupation, and address.
⚠️ Double-check all spellings especially the child’s name, corrections require a separate request.
Step 5: Upload Documents. Upload scanned copies; each file must be under 2MB in JPG, PNG, or PDF format. Blurry uploads are the most common reason for rejection.
Step 6: Pay the Fee
- Within 21 days: Free in most states
- 21 days to 1 month: Small late fee (₹10–₹50)
- Beyond 1 month: ₹50–₹200 + Registrar approval
Payment via UPI, debit card, or net banking.
Step 7: Submit and Save Your Application Number. After submission, you receive a unique application number. Save it — you need it to track status and download the certificate.
Download Your Certificate
Once approved (usually 3–7 working days):
- Log in to crsorgi.gov.in
- Go to “My Applications”
- Click Download, and you get a digitally signed PDF with a QR code
This digital certificate is legally valid across India and accepted by all schools, passport offices, and government departments.
Late Registration (Born Years Ago, Never Registered)
Visit your local Municipal Corporation or Gram Panchayat office with supporting documents, school leaving certificate, hospital records, or parents’ Aadhaar. For delays beyond 1 year, a Magistrate’s order may be required in some states. Once the Registrar approves, the certificate is uploaded to the CRS portal for download.

- Using unofficial websites, only crsorgi.gov.in is authorised; others charge fees and are not valid
- Waiting too long, every day after 21 days, adds complexity and fees
